Terms & Conditions
Last updated: February 15, 2026
The ground rules for using DocRenew — written in plain language, but binding.
1. Agreement
These Terms and Conditions ("Terms") govern your access to and use of DocRenew, a document-renewal reminder service provided by DocRenew, Inc. ("DocRenew", "we", "our", "us"). By creating an account or using the service, you agree to be bound by these Terms.
If you are accepting these Terms on behalf of a company or other legal entity, you represent that you have the authority to bind that entity to these Terms.
2. The Service
DocRenew tracks the expiration dates of business documents you enter (such as licenses, insurance policies, permits, and certifications) and sends email and SMS reminders on a schedule you choose. DocRenew is a reminder tool. It is not a legal or compliance service, and using it does not fulfill your regulatory obligations.
3. Accounts
You must provide accurate account information and keep it up to date. You are responsible for maintaining the confidentiality of your password and for all activity that occurs under your account. Notify us immediately of any unauthorized use.
You may invite additional users to your company's DocRenew workspace. You are responsible for the actions of every user you invite.
4. Subscriptions & Billing
- Monthly plan: US$19 per month, billed monthly.
- Annual plan: US$199 per year, billed annually.
- All fees are in US dollars and exclude taxes.
- Subscriptions automatically renew at the end of each billing period unless cancelled beforehand.
- You can cancel at any time from Settings → Subscription. Cancellation takes effect at the end of the current billing period, and your access continues until then.
- Except where required by law, fees are non-refundable.
- We may change our pricing on 30 days' notice; changes will not affect the current billing period.
5. Acceptable Use
You agree not to:
- Use DocRenew for anything illegal, harmful, fraudulent, infringing, or deceptive.
- Send unsolicited messages or otherwise misuse our email or SMS delivery to spam any recipient.
- Attempt to gain unauthorized access to the service, other users' data, or any related systems.
- Interfere with, disrupt, or overload the service (including denial-of-service attacks or scraping).
- Reverse engineer, decompile, or attempt to derive source code, except to the extent expressly permitted by law.
- Resell, sublicense, or provide the service to third parties as a service bureau without our written permission.
6. Your Content
You retain ownership of all data you enter into DocRenew ("Your Content"). By using the service, you grant us a limited, non-exclusive license to host, process, and transmit Your Content solely to operate the service and provide it to you and the users you invite.
You represent that you have all rights necessary to submit Your Content and that Your Content does not violate any law or third-party right.
7. Reminder Delivery
We use best efforts to deliver reminders on the schedule you configure. Delivery depends on third-party providers (Resend for email, Twilio for SMS) and on the availability of recipient inboxes and carriers. You acknowledge that:
- Emails and SMS may be delayed, misdelivered, filtered, or blocked by providers or carriers.
- Certain carriers require compliance registration (such as US A2P 10DLC) that is outside our control.
- Ultimately, keeping your documents current is your responsibility. DocRenew is a reminder aid, not a guarantee of renewal.
8. SMS Messaging Program
Program name: DocRenew Renewal Reminders.
Description: DocRenew sends account-related SMS reminders about business documents (licenses, insurance, permits, certifications, and similar items) that you or your team have entered into DocRenew. Messages notify the assigned document owner as an expiration date approaches or passes. This is a transactional program — we do not send marketing or promotional SMS.
Consent: By entering a phone number into DocRenew (yours during signup, or an owner's when you invite or assign them), the account administrator confirms they have the recipient's permission to send account-related reminder SMS on their behalf. Recipients may revoke consent at any time by replying STOP.
- Message frequency: variable, based on documents you configure. By default DocRenew sends up to seven SMS per document per renewal cycle (60, 30, 7, 3 days before expiration, on the expiration date, and 3 and 10 days after). You can turn SMS on or off per-document and per-reminder inside the app.
- Message and data rates: Message and data rates may apply. These are set by the recipient's mobile carrier — not by DocRenew — and we do not receive or control them.
- Supported carriers: All major US carriers. Carriers are not liable for delayed or undelivered messages.
- HELP: Reply HELP to any DocRenew SMS to receive help information, or email info@docrenew.com.
- STOP: Reply STOP to any DocRenew SMS at any time to opt out of all further DocRenew SMS. Opt-out is immediate and free. To resume messages, reply START or re-enable SMS reminders inside the app.
- Privacy: We do not share phone numbers with third parties or affiliates for their marketing purposes. See our Privacy Policy for full details.
- Support: For SMS support, email info@docrenew.com or visit our Support page.
9. Payment Processing
Payments are processed by Stripe. By subscribing, you also agree to Stripe's Terms of Service. We never store your full card number or bank credentials.
10. Third-Party Services
The service integrates with third-party providers, including Resend, Twilio, Stripe, and MongoDB Atlas. Their availability, terms, and privacy practices are outside our control. Their outages or errors may affect the service.
11. Termination
You may terminate your account at any time from Settings. We may suspend or terminate your account with notice if you materially breach these Terms, if we are required to do so by law, or if we discontinue the service.
On termination, your right to use the service ends immediately. We retain your data for up to 90 days as described in our Privacy Policy, after which it is permanently deleted.
12. Disclaimer of Warranties
The service is provided "AS IS" and "AS AVAILABLE", without warranty of any kind, express or implied. To the maximum extent permitted by law, we disclaim all warranties, including merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the service will be uninterrupted, error-free, or that any reminder will be delivered on time.
13. Limitation of Liability
To the maximum extent permitted by law, DocRenew's aggregate liability arising out of or related to these Terms or the service will not exceed the greater of (a) US$100 or (b) the fees you paid us in the twelve months immediately preceding the event giving rise to the liability.
In no event will DocRenew be liable for any indirect, incidental, consequential, special, or punitive damages, including lost profits, lost revenue, lost data, lost licenses or permits, business interruption, or costs of substitute services.
14. Indemnification
You agree to defend, indemnify, and hold harmless DocRenew and its officers, directors, employees, and agents from any claim, demand, or liability (including reasonable legal fees) arising out of or related to your use of the service, Your Content, or your breach of these Terms.
15. Governing Law
These Terms are governed by the laws of the State of Delaware, United States, without regard to conflict-of-law principles. Any dispute arising out of these Terms will be resolved exclusively in the state or federal courts located in Delaware, and you consent to their jurisdiction.
16. Changes to These Terms
We may modify these Terms from time to time. If a change is material, we will notify account owners at least 14 days before it takes effect. Continued use of the service after the effective date constitutes acceptance of the updated Terms.
